Large PDF files are a headache when you need to send them by email or upload to a website. Ideally with big files it’s easier to use a file sharing or file transfer service. If it absolutely has to be emailed then there are ways of reducing the size of a PDF file so that it is easier to send. Reprinting the file as a smaller PDF is an option but there are a couple of things to consider:

  1. This requires you to have a PDF print driver installed on your computer. Many computers will have one of these, but if you don’t, there are plenty available out there to download, such as CutePDF
  2. Reducing the file size this way will affect print quality if the file is to be printed by the recipient so this method is best used if the file is only going to be viewed on a website or computer screen

Here’s how to do it:

  • Open your PDF file
  • Select file > print
  • From the list of available printers select your PDF printerReducePDF1
  • Click on the Properties button and then you will then see the Document Properties Window
  • Click advanced propertiesReducePDF (1)
  • The advanced window will open and you are looking to change the print quality. Under print quality, change the size to the smallest possible. In the image below you can see we have changed it 72dpi. (Depending on the system you are using, there may be an option to choose ‘smallest size possible’ or ’email/online quality’)ReducePDF (2)
  • Click ‘OK‘ on all open windows
  • Click ‘Print
  • When the conversion is finished you will prompted to choose a location to save the file and give the file a name. At this point you can either save the file with the same name as the original, which will overwrite it, or you can save it with a new name which will save it as a new file.
  • When finished, click ‘Save
